Do these in this order

Open 00 Start Here first. Create the three CRM properties. Then pick Make or Zapier. Do not skip the opt-out test.

  1. Open 00 Start Here first

    A one-page map of the folder, your CRM, and which guide you need. Read that before you touch Make or Zapier.

  2. Create the three CRM properties

    On the person / contact / client object, create tbt_review_state, tbt_last_review_at and tbt_review_due_on. Salesforce appends __c. Your CRM guide has the exact labels.

  3. Then pick Make or Zapier

    Make users: new scenario, the three-dot menu, Import Blueprint, then the outbound file. Repeat for reply triage. Bridge CRMs import blueprint 03. Zapier cannot import a workflow file, so follow the Zapier guide screen by screen.

  4. Connect your accounts

    Your CRM or the Sheet, OpenAI, your mailbox, your SMS provider, and Retell AI if you want the phone channel.

  5. Read the compliance pack before you send anything

    Four minutes. Existing-client is a stronger position than a dormant enquiry. It is not a free pass.

  6. Test on yourself, then open the tap

    Add yourself as a review-due client, run it once, read what it writes. Reply STOP and confirm it suppresses you. Then fifteen clients a day for the first week.

Create these before you import

tbt_review_state    → due | queued | sent | hot | booked | later | completed | opt_out tbt_last_review_at  → date · frequency cap is 330 days tbt_review_due_on   → date · who is eligible today

opt_out is the suppression flag the consent gate reads. Do not store campaign state in a stock notes field.
