The AI Appointment Booker · your AI receptionist
Answer every call. Book the chat. Before they ring the next broker.
The AI Appointment Booker answers your business line in an Australian voice, says it is an AI, asks a few light questions, checks your calendar and books a discovery call. It sends you the summary and puts the lead in your CRM. It never quotes a rate or gives advice.
- Books straight into your Google Calendar (Outlook, Calendly and Cal.com users have a path too)
- Says it is an AI and that calls may be recorded, in the first sentence, every call
- Client texts and emails ship off until you switch them on
The 70-second overview. What the Booker does, what is in the pack, and the rules it keeps. Illustrated examples, not a recorded client call.

AVA (AI receptionist): G'day, Harbour Home Loans. Ava here, the AI receptionist. How can I help?
DANIEL (caller): Yeah, hi. My fixed rate ends in a couple of months. Just looking at refinancing.
AVA (AI receptionist): Yep, you've come to the right place. What's your first name?
DANIEL (caller): Daniel.
AVA (AI receptionist): Thanks, Daniel. Roughly how much is left on the loan?
DANIEL (caller): About 540 grand.
AVA (AI receptionist): And is that the home you live in?
DANIEL (caller): Yeah, owner-occupied. Been here about six years.
AVA (AI receptionist): Got it. I can't give rate advice, but Sarah, our broker, can talk you through your options.
DANIEL (caller): Yeah, that's what I'm after. Just want to get organised before it rolls off.
AVA (AI receptionist): Absolutely. I've got Thursday at 10.30 in the morning or Friday at 2. Either suit?
DANIEL (caller): Thursday 10.30 is good. Is that a phone appointment?
AVA (AI receptionist): It is. Sarah will give you a ring. What's the best mobile for you?
DANIEL (caller): 0412 345 678.
AVA (AI receptionist): Lovely. That's 0412 345 678?
DANIEL (caller): Yep, that's the one.
AVA (AI receptionist): You're booked for Thursday, 10.30. I'll text you confirmation with a link to upload your loan statement.
DANIEL (caller): No worries. I'll grab that tonight. Is that all you need for now?
AVA (AI receptionist): That's it. Sarah can take it from there. Thanks, Daniel.
DANIEL (caller): Beauty. Cheers, Ava.
AVA (AI receptionist): Cheers. Have a good one.
Demo call, fictional brokerage
Hours back. Appointments booked. Worked examples you can check.
Missing the call usually means the enquiry goes to the next broker who picks up. Here is what answering and booking every call could be worth. These are worked examples built on assumptions we show in full, not customer results and not promises. Swap in your own numbers.

| Item | Example value | Where it comes from |
|---|---|---|
| Enquiry calls a month that need an appointment | 30 | Assumption. Use your own number. |
| Your time per enquiry by hand | 15 min | Assumption: voicemail, call-back, phone tag, texts, diary and CRM entry. |
| Your time per enquiry with the Booker | 3 min | Assumption: read the summary and glance at the diary. |
| Hours saved | 6 h a month, 72 h a year | Arithmetic: 30 × (15 − 3) minutes = 360 minutes a month. |
| Average loan size | A$600,000 | Assumption. |
| Upfront commission | 0.60% | Assumption, so A$3,600 per settled loan. Trail is not counted. |
| Your share after the aggregator and licensee split | 80% | Assumption, so A$2,880 per settled loan. |
| Booked appointment becomes an application | 40% | Assumption. |
| Application settles | 70% | Assumption, so 0.28 settled loans per booked appointment. |
| Expected value of one extra booked appointment | A$806.40 | Arithmetic: A$2,880 × 0.28. An expected value, not a promise. |
| Extra booked appointments a month | 3 | Assumption, so A$2,419 a month at the same expected value. Nobody can promise this number. |
| Booker running cost | US$29.10 a month | 30 calls × 5 min × (US$0.164 Retell as built in our test agent + US$0.01 Twilio receive) + US$3.00 Twilio number. Make on its free plan. |
| Exchange rate | US$1 = A$1.50 | Assumption. Vendors bill in US dollars. |
| Booker, year one | A$723 | A$199 + 12 × A$43.65. |
| Part-time receptionist or VA | A$13,749 a year | Assumption: 10 hours a week at A$26.44/h, the national minimum wage from 1 July 2026 (Fair Work Commission). Wage only; award rates can be higher. |
| Done-for-you virtual receptionist | A$5,400 a year | Smith.ai human plan, from US$300 a month for 30 calls (smith.ai/pricing, fetched 19 Oct 2026), at the exchange rate above. |
| Hosted AI receptionist subscription | A$2,700 a year | Smith.ai AI Receptionist Pro, US$150 a month for 75 calls (smith.ai/pricing/ai-receptionist, fetched 19 Oct 2026), at the exchange rate above. |
Three accounts and a phone number. That is it.
The Booker runs on accounts you own. You pay those vendors directly for what you use (costs below). The pack shows you how to open and connect each one.
Retell AI account
The voice agent that answers the phone. Pay as you go: add a card, no monthly platform fee on Retell's pricing page.
Make account
The automation that checks your calendar, books, emails you and updates your CRM. The free plan is enough to start.
Google Calendar + Gmail
Bookings go straight into your Google Calendar and alerts come from Gmail. Outlook, Calendly and Cal.com users get a separate path.
An Australian phone number
From Twilio or Telnyx (Retell only sells US and Canadian numbers). Needs a business ID and address check that can take days, so apply first.
Your CRM
HubSpot, Salesforce, Pipedrive and Zoho have their own Make file. Salestrekker, Connective, MyCRM, Effi, Infynity, ActivePipe, BrokerEngine and Suite360 use a Google Sheet bridge.
Burst SMS or Zapier
Burst SMS (Kudosity) for text confirmations, which ship switched off. Zapier if you prefer it for the after-call and call-back jobs.
You do not need: to write code, a developer, a new CRM, or a new phone system. If you can copy, paste and click “Import”, you can set this up.
Four jobs. All of them before you pick up.
Built on Retell AI (the voice agent) and Make (the automation). You own the accounts, the number and the data.

Picks up in an Australian voice
Discloses it is an AI, tells the caller about recording, gives a short privacy line, then listens.
Checks your calendar, books the call
Offers real free times inside your hours, with your buffer. Re-checks the slot before it books.
Summary, transcript, your CRM
A plain-English summary and transcript by email, plus a lead in your CRM with the call linked.
Speed to lead (optional)
Rings a web lead who ticked consent, inside lawful calling hours. Emails you instead if anything is off.
It books. It does not advise.
The rules sit at the top of the prompt, and every call is analysed afterwards. If the AI quotes a rate, gives advice, meets a distressed caller or is told not to record, your email subject says [REVIEW].
Set it up this afternoon. Test it on yourself first.
Run the wizard, import two Make files, paste the agent, make a web call. The Australian number takes longer to be approved, so apply for it first.
From unzip to your first test call.
About 15 minutes of your own time. Every step has a written guide with real screenshots in the zip, and an offline Setup Wizard fills your details into every file for you.
01-guides/2-Australian-Phone-Number.html.Run the wizard, import into Make
- Open
Setup-Wizard.html. Type your business name, hours and appointment length. Click Download my files. - In Make: Create a new scenario → … → Import Blueprint. Import the live-tools file and the after-call file for your CRM.
- Click each module and Add your Google Calendar and Gmail connections. Copy the two webhook addresses. Switch both ON.
01-guides/3-Make-Setup.htmlCreate the agent in Retell
- Wizard stage 2: paste the two webhook addresses and download your agent files.
- In Retell, create a single-prompt agent. Paste the prompt and the Welcome Message, add your settings under Environment, add the five functions, pick the voice.
- Paste the after-call webhook address under Webhook settings.

What we have and have not tested
The structure is checked, the scripts are unit-tested, and all seven Make blueprints imported cleanly into Make (us1) on 17 Oct 2026 (you add your own connections). Each CRM file says plainly whether the blueprint is ready-made, a template, or a bridge.
Published prices. No guesses.
You pay the vendors directly for what you use. Figures are from each vendor's public pricing page, fetched 17 October 2026. Anything we could not verify says “check current pricing”.
| Item | Published price | Source |
|---|---|---|
| Retell voice infrastructure | US$0.055 / min | retellai.com/pricing |
| Voice (Retell, MiniMax, Cartesia and others) | US$0.015 / min | retellai.com/pricing |
| AI model, GPT 5.6 Terra (the pack default) | US$0.064 / min | retellai.com/pricing |
| Retell total, our sum of the three | about US$0.134 / min | before carrier charges |
| Our test agent as built (Charlie voice from Custom Providers, GPT 5.6 Terra) | US$0.164 / min shown in Retell's agent editor | Retell dashboard, 17 Oct 2026 |
| Twilio Australian local number | US$3.00 / month + US$0.0100 / min to receive | twilio.com AU voice pricing |
| Telnyx Australian number (alternative to Twilio) | Check current pricing | telnyx.com |
| Make | Free plan 1,000 credits / month; a booked call is roughly 30 credits. Paid plans: check current pricing | make.com/en/pricing |
| Google Calendar and Gmail | Your existing Google account or Google Workspace plan | no extra cost from this pack |
| Burst SMS (optional, for text confirmations) | Check current pricing | burstsms.com.au |
| Zapier (optional; webhooks need a paid plan) | Professional listed from US$19.99 / month. Check current pricing | zapier.com/pricing |
Worked example, our arithmetic from the figures above: a 5-minute inbound call is about US$0.67 of Retell time on a standard voice (about US$0.82 with the Charlie voice our test agent used), plus about US$0.05 of Twilio receive time. Vendors bill in US dollars, so your card is charged after currency conversion. The $199 AUD is the only thing you pay The Broker Times, once.

30-day money-back guarantee. You keep the files.
Buy it, or skip it.
Buy this if
You miss business calls, you are comfortable connecting a few accounts by following a guide, and you want every call answered, the discovery call booked and the lead in your CRM without the AI ever giving advice.
Do not buy this if
You want somebody to install it for you. This is deliberately do-it-yourself, which is the only reason it is $199 and not a retainer. Also skip it if you were hoping it would give advice, quote rates or cold call. It will not do that, and Retell, Make and your phone number cost extra (table above).
DAY
Read it, build it, and if it is not for you, tell us.
Email matt@thebrokertimes.com.au within 30 days of purchase and we will refund you in full. You keep the files. We would rather you had a good experience than $199 of ours you resent, and it is the same guarantee we put on everything else in the shop.
Fair questions.
How technical do I need to be?
Not very. If you can copy and paste, click “Import” and sign in to Google, you can set it up. Each step has a written guide with real screenshots of Retell and Make, and the offline Setup Wizard fills your details into every file. There is an optional one-line script for people who like a terminal, but you never need it.
Is there a money-back guarantee?
Yes, 30 days. Email matt@thebrokertimes.com.au within 30 days of purchase and we will refund you in full. You keep the files. Your rights under the Australian Consumer Law apply regardless.
What happens after I pay?
You go straight to a download page for the zip (76 files) and Stripe emails your receipt. Open 00-start-here/15-Minute-Quick-Start.html first. Keep the zip: you can re-run the wizard any time.
How long does setup take?
About 15 minutes of your own time to a working test call. The Australian number can take hours to days to be approved by the phone company, which is why you apply for it first and test with a web call in the meantime.
What do I pay each month?
Nothing to The Broker Times. You pay Retell per minute of calls, your phone provider for the number, and Make once you outgrow its free plan. The table above shows the published prices with the date we checked them.
Does the AI give advice or quote rates?
No. It is told never to give financial, credit, tax or legal advice, recommend a lender, say whether someone will be approved, or quote rates, repayments, fees or borrowing capacity. It books a conversation with you. After every call, an analysis step flags any call where that rule was broken, and the subject line of your email says [REVIEW].
Do I need an Australian phone number?
For live calls, yes. Retell only sells US and Canadian numbers, so the pack walks you through getting an Australian number from Twilio and connecting it with a SIP trunk. The paperwork can take days, so start it first. Meanwhile you can test everything with a browser web call.
Will it work with Outlook, Calendly or Cal.com?
Google Calendar is built in through Make. Outlook, Microsoft 365, Calendly and Cal.com users use Retell's own scheduling connections, with prompt wording provided. Calendly booking needs a paid Calendly plan.
Does it text or email my clients?
Not until you switch it on. The setting ships off. When on, it only contacts a caller who said yes to that channel, and it stores the consent with the lead.
Can it call people back?
Optionally, for a web lead who ticked a consent box, within Monday to Friday 9am to 8pm and Saturday 9am to 5pm. It does not cold call. Read the compliance guide first.
Do I need Make or Zapier?
Make is the full path. Zapier works for the after-call summary and the speed-to-lead call, but cannot answer the AI mid-call, so Zapier users book through Retell's own Cal.com or Calendly tools. Make has a free plan to start; check current pricing for paid plans.
Which CRMs does it work with?
HubSpot, Salesforce, Pipedrive and Zoho CRM each have their own Make file (HubSpot ready-made; the other three are templates you confirm on first run). Salestrekker, Connective, LMG MyCRM, Effi, Finsure Infynity, ActivePipe, BrokerEngine and AFG Suite360 use a Google Sheet bridge: every call becomes a row, then you move it in by the route your CRM supports. There is one separate guide per CRM.
Who is responsible for compliance?
You are, together with your licensee. The pack gives you the disclosure wording, the checklists and the safe defaults, but it is not legal advice and your credit licence obligations stay with you.

Compliance note. The AI Appointment Booker books discovery calls. It is set up to say it is an AI and that the call may be recorded at the start of every call, to give no credit, financial, tax or legal advice, and to quote no rates, fees or borrowing capacity. Outbound call-backs are only for people who ticked a consent box, inside the telemarketing calling hours. You are responsible for how you use it, including your credit licence, Privacy Act, Spam Act and Do Not Call obligations; the pack is general information, not legal advice.
